Products with batteries: what to gather before a transport inquiry

Before buying devices, tools or vehicles with batteries in China, prepare a sheet for the actual product. A description such as “electronics” leaves questions that need answers before comparing options to Mexico.

Request verifiable supplier information and documents matching the model purchased. Submit the sheet before booking or handing over goods so the operator can assess the shipment.

Identify the product and its configuration

Record the brand, model and intended use. Request photos of the item and battery label from the version you will buy. State whether batteries will be installed, packed with equipment or shipped separately, and whether the order includes spares.

For several versions, use a row for each product and battery combination. If the supplier changes a component, request an updated sheet before continuing to use earlier information. Keep the technical contact who can answer follow-up questions.

Complete an inquiry sheet with the manufacturer

Use this table to organize supplier questions. Mark missing information as pending and identify who will obtain it; avoid filling gaps with values from a similar listing.

Scroll the table sideways to see all columns.

Check which model the documents describe

IATA’s 2026 guidance on air transport of lithium batteries and sodium-ion batteries with organic electrolyte explains the UN 38.3 test summary and includes manufacturer, battery and report identifiers. Request the summary where applicable and check the model connection; keep the file or link with the supplier’s response.

The summary alone does not confirm shipment acceptance. The guide itself is presented as guidance rather than a source of regulatory compliance. Your operator must identify the assessment and documents required for the specific shipment.

Explain the condition of the goods at the outset

State whether the item is new, used, returned or intended for repair. Disclose known damage, abnormalities or recall notices. If its condition is unknown, request supplier confirmation and raise that uncertainty before scheduling collection.

IATA places responsibility for correct classification on the shipper. Have the competent party undertake that review; a commercial category or generic safety data sheet should not replace assessment of the actual product.

Describe the shipment you need as well

Add origin, destination postal code, quantities and expected readiness date. Explain whether you need transport alternatives assessed and which receiving date matters. Ask for a response identifying the information reviewed and any unresolved points.

Ask the operator to confirm feasibility, scope, responsibilities and next steps before committing to dispatch. This sheet prepares the inquiry: classification, preparation, marking and transport documentation require specific instructions from the competent parties.

Submit a file that can be reviewed

Collect the version list, photographs and documents in a file identified by order and date. Ask specific questions and retain the answers. If the model or configuration changes, submit the change for a fresh review.

Use these details for an MX Pacific Express inquiry. Availability is confirmed for each product and route; publication of this guide does not imply acceptance of batteries, vehicles or other regulated goods.

Sources and scope

Sources consulted on 26 October 2026. Checklists and examples are planning guidance prepared by MX Pacific Express. Other operators’ processes illustrate concepts; the conditions for your cargo are confirmed separately.

Prepare your next step

Share the product, packaging, weight, origin and destination. Identify any information still pending so your inquiry can be reviewed with the right scope.
