Quote validity: what to review when your cargo changes

The factory finishes packing, and the measurements differ from those used for your quote. Before authorizing dispatch, request a review against the final figures and ask which proposal version you can accept.

Keep a cargo sheet and an identified quote version. When something changes, request its effect in writing before authorizing additional operations.

Identify the proposal’s basis

Record which product, packaging, weight, dimensions, origin, destination and ready date the price describes. Mark provisional figures and identify who provides final details.

Ask for the proposal’s validity, conditions for using it and unresolved items. An expiry date needs context: confirm which event must occur within that period and which service or departure is being considered.

Distinguish a quote, authorization and booking

Ask what each communication confirms. Review the information still needed before requesting a booking and the conditions applying after a confirmation exists.

For example, Maersk Spot terms address cargo-weight changes and amendments after booking confirmation. Those are conditions of that product; they do not automatically apply to an MX Pacific Express proposal or every transport mode.

Changes to communicate before proceeding

Use the table to prepare a review request. It does not assume that every change creates a charge or that every change can be accepted.

Scroll the table sideways to see all columns.

Request an answer you can compare with the previous proposal

Ask the provider to identify what stays the same, changes or remains unresolved. Review the total, currency, billing unit, validity and conditions, alongside the freight line that first caught your attention.

Keep the previous version to understand the change, but clearly identify the current one. If a message only clarifies a point, confirm whether it changes the proposal or requires a revised version.

Define who can approve the revised scope

Agree who reviews the proposal and who may authorize additional work or amendments. Request the effect on dates and documents before deciding.

If a booking or work already exists, consult the procedure for that operation. Do not infer a penalty, refund or cancellation right from another carrier’s rule.

Keep a short record of the decision

Retain the inquiry reference, review date, final details, requested change, response and decision. Add unresolved items and owners so the next person does not work from an outdated version.

For an MX Pacific Express inquiry review, send the final cargo sheet and identify changes from the previous one. The team will confirm availability, scope and the relevant proposal conditions.

Sources and scope

Sources consulted on 26 October 2026. Checklists and examples are planning guidance prepared by MX Pacific Express. Other operators’ processes illustrate concepts; the conditions for your cargo are confirmed separately.

Prepare your next step

Share the product, packaging, weight, origin and destination. Identify any information still pending so your inquiry can be reviewed with the right scope.
