Record each milestone with its location, date, local time, owner and status. Confirm deadlines for the specific booking before committing to collection or a receiving date.
Define what cargo ready means
Ask whether the date covers the whole lot, final packaging and carton, dimension and weight details. Include documents needed for the operation and the contact authorizing collection. Assign a date and owner to any outstanding work.
For several suppliers, record each one’s availability separately. Ask confirmations to identify the order and carton location, so an answer about one lot is not applied to another.
Request the booking’s specific cut-offs
Maersk’s FAQ distinguishes container gate-in, shipping-instruction and VGM deadlines in its schedules. Its LCL terms distinguish warehouse delivery from availability for collection according to booking scope. These are examples from that operator; request the milestones applying to your service.
Ask for the date, time, time zone and location of each deadline. Identify who must deliver goods or information and which confirmation will establish receipt.
Use one row for each milestone
This table organizes responses without setting standard durations. Complete it with the factory and booking coordinator. Mark each date as proposed, confirmed or pending.
Scroll the table sideways to see all columns.
| Milestone | What to specify | What to keep |
|---|---|---|
| Preparation complete | Order, packaging and location | Supplier confirmation |
| Collection or handover | Address, hours and contact | Instructions accepted by the parties |
| Receiving deadline | Goods or documents concerned | Current operator notice |
| Estimated departure | Leg, location and booking reference | Latest update received |
| Estimated arrival | Location covered by the forecast | Update date and outstanding steps |
| Final receiving | Address and appointment conditions | Confirmation coordinated with destination |
Identify the event behind each date
Maersk defines ETD as estimated departure in its LCL terms. When you receive an ETD, ask which leg and location it describes. For an ETA or expected arrival, also confirm the arrival point: port, airport or another location communicated by the operator.
Keep forecasts with their update dates. To establish whether something has already happened, request the confirmed event and its reference. For receiving plans, ask which outstanding tasks remain between that event and delivery to your address.
Communicate the full change when readiness moves
State which order is delayed, what is complete and the new date confirmed by the factory. Ask the coordinator whether collection, deadlines and planned departure remain feasible. Request a revised proposal if scope or cost changes.
For unresolved questions, record the pending decision and its next review date. Before separating an urgent portion, prepare its own carton list and confirm conditions for both departures.
Prepare an inquiry with dates that can be checked
Send product details, quantities, location, confirmed readiness and destination. Attach the milestones already known and mark provisional dates. Explain which purchasing or inventory decision depends on the response.
MX Pacific Express will review the details and confirm available options and conditions. Update the schedule with accepted responses and keep a record of who must report any further changes in cargo preparation.
