Use a packaging sheet for each product or group. Identify what is ready, what needs confirmation and who authorizes changes before collection.
Describe what needs protection
Share the material, shape, weight and parts needing attention. Explain whether the product is sold individually, as a set or in retail packaging that must remain presentable. Include photos linking the description to the actual goods.
This guide covers planning for ordinary fragile products. Dangerous goods, batteries, liquids or temperature requirements need a specific assessment; a general packaging solution does not confirm acceptance.
If the factory is considering two packaging options, request a sheet for each using the same product and quantity. Identify which photos show a proposal and which show the finished result. This lets you request a transport review without confusing an open decision with preparation that is already approved.
Use the operator’s guidance as a reference
DHL recommends matching the box to the goods, limiting internal movement and separating fragile items. These are general concepts from its UK and US guides; confirm the specific conditions with your operator.
Ask the supplier to explain its protection proposal. For additional contracted preparation, agree on materials, work, approval responsibility and evidence of the result before authorizing it.
A sheet to review before closing the cartons
Complete this table with identifiable answers and photographs. It organizes the discussion without certifying packaging for every route.
Scroll the table sideways to see all columns.
| Point | What to request | What to confirm |
|---|---|---|
| Product | Photos and a description of delicate parts | The product and version being reviewed |
| Presentation | Retail box, accessories and sales unit | What must remain together and in what condition |
| Protection | Proposed inner and outer packaging | Who designs and approves the solution |
| Handling | Package weight and declared conditions | What the operator must assess for acceptance |
| Final measurements | Dimensions and weight after preparation | Which figures apply to the quote review |
| Receiving | Address, access, contact and unloading | What the recipient can do on arrival |
Keep a record of the approved packaging
Request images connecting the product, protection, open carton and closed package. Add the order reference, date and carton identifier so the record cannot be confused with another purchase.
Confirm what work that record represents. An exterior photo shows the exterior; for counts, content checks or testing, agree on a separate scope with the party performing it.
Agree who gives final approval and how it reaches the factory. Keep questions and answers with the relevant version. For a later inquiry, identify which points were reviewed and which remain open, without presenting photographs as certification. Ask that changes after approval are brought back to the responsible person.
Review transport after changing the packaging
A pallet, extra carton or different protection can change the cargo details. Request final outer dimensions and gross weight, and identify any stacking or handling conditions needing review.
Orientation or fragile labels communicate information; their presence does not establish packaging suitability or guarantee that damage will not occur. Ask which identification the service requires and how it must correspond to the package list.
Align collection and receiving arrangements
Before booking, agree who hands over the packed goods, which preparation is included and what information the destination receives. Review appointments, unloading arrangements and the receiving contact against the proposal’s scope.
For an MX Pacific Express inquiry, share the product, photos, cartons, dimensions, weight, origin and destination. The team will confirm available logistics conditions; this guide does not contract packaging, inspection or a product guarantee.
Sources and scope
Sources consulted on 26 October 2026. Checklists and examples are planning guidance prepared by MX Pacific Express. Other operators’ processes illustrate concepts; the conditions for your cargo are confirmed separately.
Prepare your next step
Share the product, packaging, weight, origin and destination. Identify any information still pending so your inquiry can be reviewed with the right scope.
