Compare two complete configurations with final measurements, responsibilities and loading and unloading conditions. Request approval before changing the format.
Define the units handed to the carrier
First ask what will be ready for collection: separate cartons, complete pallets or an identified combination. Distinguish the carton count from the number of units that will be handled. When several cartons share a pallet, retain their contents list so they can still be matched to the order.
The choice depends on the proposed transport arrangement and the receiving location. A pallet does not automatically mean a lower price, and loose cartons do not guarantee a simpler operation.
Get final configuration details from the supplier
Request the gross weight and outside measurements of each completed unit, including its base and protective materials. Mark estimates separately from final measurements. Add photographs showing the proposed configuration and ask the supplier to confirm who will prepare and check it.
DHL Global Forwarding’s UK guide discusses forklift access and stackability as packaging characteristics. This is one operator’s reference: ask which conditions your carrier accepts and how they must be declared.
The responsible parties need to confirm whether the unit can be stacked.
Check conditions at both ends
Ask the supplier how the goods will be loaded onto the vehicle and the recipient how they can receive them. Confirm whether a loading dock, suitable equipment and authorized staff are available, and who will provide them. If something is missing, describe the situation so an alternative can be reviewed before booking.
Explain narrow access, changes in floor level or site restrictions that could affect handling. Request the exact physical delivery point and establish who moves the goods beyond it.
Use this table to prepare both options
Send this comparison for the same product, quantity and destination. Mark unknown details as pending so the logistics provider can request specific information instead of pricing a configuration that does not yet exist.
Scroll the table sideways to see all columns.
| Detail | Loose cartons | Pallets |
|---|---|---|
| Handling units | Count and measurements by carton type | Count and final outside measurements |
| Gross weight | Per carton and total | Per pallet and total, including the base |
| Loading and unloading | How each carton moves and who handles it | Equipment, access and responsible parties to confirm |
| Configuration condition | Carton photos and identification | Photos and stackability to confirm |
| Outstanding preparation | Work, responsible party and date | Assembly, responsible party and date |
Compare the work included in each proposal
If you request two quotes, identify each packaging version and ask which included items change. Establish whether someone must combine cartons, dismantle pallets or prepare the goods again, where that would happen and who authorizes the work and cost.
Ask for those answers in the revised proposal. If the supplier changes the unit count, format or handling conditions, check acceptance and pricing again before handing over the goods.
Finish with a data sheet everyone can check
Collect the product and quantity, carton list, chosen configuration, final weights and measurements, photos, addresses and contacts at both ends. Add the answers about available handling resources and assign each outstanding task to someone. Keep a dated version so everyone works from the same information.
You can write: “Attached are the loose carton and pallet options. Please confirm which format you can accept, what information is missing and which loading, unloading or preparation tasks the proposal includes.” MX Pacific Express confirms the available scope for each inquiry.
