Connect each observation to a package, date and document. Contact the responsible party promptly and request the procedure and deadlines applicable to that shipment.
Separate observations from unconfirmed causes
Describe what you can establish: the identified carton, its external condition and the discrepancy against a specific list. Record when the observation was made and by whom. Leave an unknown cause unresolved rather than assigning it to a party.
Distinguish packages from product units. Receiving a carton alone does not confirm its contents; a unit awaiting a count is not automatically a confirmed loss.
Record whether the observation was made before or after opening the packaging, when that information is available. If another person supplies an observation, preserve their description and its reference. A chronology helps frame specific questions without turning recollections or assumptions into confirmed facts.
A record that helps reconstruct receiving
Use the same identifiers in notes, photos and communications. Share commercial information through the agreed private channel.

| Field | What to record | What to connect |
|---|---|---|
| Reference | Order and available transport reference | The specific shipment being reported |
| Receiving | Date, location and receiving person | Available delivery evidence |
| Package | Identifier and observed exterior condition | Photos and expected carton list |
| Quantity | Expected, observed and still awaiting a count | Document and unit of measure used |
| Product | Reference, presentation and specific observation | The carton or group containing it |
| Communication | Contact, date, case number and open item | Next action and who should respond |
Preserve evidence before closing the record
DHL Spain’s help requests packaging and contents photos when assessing a damaged parcel. It describes that service, not a universal list for all China–Mexico shipments.
Keep original images and related documents. Retain the packaging and observed items while requesting review instructions from the responsible party. If the condition requires specialist attention, seek instructions before handling the cargo.
Confirm the reporting channel and the next process
Maersk Ground Freight distinguishes damage notification from a formal claim and explains that time limits depend on applicable terms. Ask the contracted party which action applies, who can submit it and what documentation is required.
Do not treat another operator’s form, deadline or address as applicable to your shipment. Request acknowledgment, a case reference and the next outstanding documents.
Keep an organized version of the file
Collect the quote or contract, shipment documents, packing list, delivery record and relevant observations. Identify the version used when comparing quantities. Preserve the change record if a previous list is replaced.
When several businesses were involved, establish who coordinates the review and which information each needs. Retain responses and distinguish an information request, work authorization and a decision on the case.
Prepare a short summary for each update: known status, information received, open item and the contact handling it. Link the supporting files to that summary. If a quantity is corrected, record the reason and who confirmed it so everyone compares the same version rather than separate copies of an earlier list.
Use the findings to prepare the next delivery
Review whether carton references, preparation photos or recipient instructions were missing. Add useful fields to the next cargo sheet and agree how receiving will be documented before contracting.
MX Pacific Express can review logistics conditions for a future inquiry. This guide does not determine liability, compensation or claim acceptance, and does not offer to process another operator’s case.
